What an ATS actually does with your resume

It’s a filing system, not a robot gatekeeper

An ATS (applicant tracking system — Workday, Greenhouse, Lever, iCIMS, Taleo…) is the database recruiters use to manage applications. It parses your resume into structured fields: name, contact, work history, skills. Most rejections blamed on “the ATS” are a human recruiter spending eight seconds on a parsed profile that looked thin or mismatched.

How parsing works

The parser extracts text and maps it to fields using section headings and layout. Standard headings (“Work Experience”, “Education”, “Skills”), single-column layout, and real text (not images) parse reliably. Creative headings, multi-column designs, tables and graphics are where data gets scrambled or dropped.

What recruiters actually see

A summary card: recent titles, companies, dates, skills, sometimes a match score against the posting. If your best material is trapped in a sidebar the parser skipped, the recruiter never sees it. That is why ATS-friendly formatting matters — not because software rejects you, but because humans decide from the parsed view.

Keyword screening is real, but simpler than you think

Recruiters filter and search by terms from the posting — “Kubernetes”, “account management”, “CPA”. Matching happens on the words you actually use, so mirror the posting’s vocabulary where it is true of you. Stuffing white-text keywords or unrelated terms fails the human review that always follows.

The myths

No, ATS software does not auto-reject 75% of resumes — that number traces to a vendor survey, not parser behavior. No, PDFs are not unreadable — a text-based PDF parses fine nearly everywhere; an image-based (scanned or “flattened”) PDF does not, anywhere. No, you don’t need to trick anything: clean structure plus honest keyword overlap is the whole game.
